As any event professional knows, social media can be absolutely crucial when it comes to promoting your event, and that extends to activity after your event as well. After all the hard work you’ve put into creating an event, you want it to live on past the moment everyone leaves - and perhaps you also want everybody who didn’t attend to know exactly what they missed out on.

Of course, you can hire a photographer or videographer to capture every moment (and we recommend doing so), but having an event that looks so good and runs so smoothly that everybody there takes photos to post on Instagram can be the ultimate gold-star for any event organiser.

How to achieve that? People love to take photos of things that interest, inspire, or intrigue them, so think about how you can hit those notes throughout the duration of your event. We’ve run an event or two and we know a few things, so here are our top tips for getting your event ready for the grid (or the FYP)...

Pick a theme

Deciding on a theme should be one of the first things you do when setting out to plan an event. It’ll make your life easier by giving you a central point to build your event around, and ultimately it’ll help create a really streamlined and cohesive look and feel.

Our goal with any event is to impress and delight your guests from the moment they arrive at your venue to the moment they leave, and keeping everything on-theme can really help with that. Whether it’s as broad as “summer” or as niche as “space cowgirl,” starting out with a clear idea in mind will help you build an event that’s chock-full of photo moments.

Make an entrance

If you want people to take photos at your event, one (almost) surefire way to do so is to make a splash as soon as they arrive. Their anticipation for the event will be at its peak, and they’ve probably already got their phone in hand - so it’s key to grab their attention before they are distracted by mingling and/or margaritas.

A statement entryway does just that. Think branded archways, a welcome drink with a branded cocktail topper, on-theme live entertainment, or even an unusual venue that makes a splash in itself (nobody can resist a snap of Barge East as they step onboard).

Use food as a focal point

You’ve already budgeted for food. Why not make that food an Instagrammable moment in itself - saving precious budget on extra decor? Serving food in an unusual, eye-catching way will not only ensure that nobody misses the offering: chances are people will take photos or videos and share them later. A doughnut wall is one of our favourite ways to make a sweet visual impact, and something as simple as a branded biscuit always goes down a treat with guests (and clients).

Light it up

From a more logistical standpoint, photos of your event will look much better if it’s well lit. If your event is during the daytime, try to position your key moments in a well lit area with plenty of natural light: if it’s at night or even if the venue is dark, you could look at spotlights or uplighters for focal points of your event. And if lighting is really giving you issues, consider a dedicated photobooth to make sure those photos turn out well!

Spectacular street food setups

Everybody wants delicious food and drink at an event - but what if those dumplings you’re all dying to try were served from a 1992 fire engine converted into a glossy black food truck? How about if that Aperol Spritz was served from a suitably bright orange van? Even if your event doesn’t have outside space, you can still work with caterers to create a physical setup that really makes an impact - whether that’s a mini crepe van designed to roll right into your venue, grazing boards that entice your guests to take a photo with beautiful colours and designs, or custom menus and signage that reflect your theme and brand.

By incorporating these tips, you'll ensure your event is a hit on Instagram and beyond. A well-chosen theme, a memorable entrance, Instagrammable food, strategic lighting, and creative setups can turn any gathering into a visual feast that guests can’t help but share. Remember, the more shareable moments you create, the wider your event’s reach will be.
